00VILLA GUIDE
Getting a villa ready to host a gathering
A large gathering asks more of a villa than any normal day: every AC unit running with doors opening constantly, kitchen equipment and caterers’ appliances on the same circuits, guest toilets used heavily, and outdoor lighting, gates and parking all in play after dark. A little preparation the week before avoids the classic failures on the night.
01PART
Cooling and power
Many people in a room add heat, and open doors let it in. Clean filters and check that every unit in the entertaining areas cools properly. If caterers bring warmers, urns or extra fridges, find out what they will plug in and where, so they are spread across circuits.
- Service AC in the main rooms.
- Ask caterers about their equipment loads.
- Know where the board is and which breaker serves what.
02PART
Toilets and drains
Guest toilets that are rarely used may have dry traps, slow flushes or running cisterns. Test each one, run water into floor drains, and check kitchen drains are flowing well before they take a caterer’s washing-up.
- Flush and test every guest toilet.
- Run water into floor drains to refill traps.
- Check kitchen sinks drain quickly.
03PART
Outside, gates and parking
Guests will arrive and leave in the dark. Check garden and path lighting, make sure gates open and close reliably and that intercom release works, and think about where cars will go so gates are not blocked open all evening.
- Test outdoor and path lighting.
- Check gate and intercom operation.
- Plan parking so gates can close.
04QUESTIONS
- Can the villa supply handle catering equipment?
- Usually, if loads are spread across circuits; heavy items on one circuit can trip it.
- Why test guest toilets?
- Rarely used ones often have dry traps or faulty cisterns.
- Should the pool be checked too?
- If guests will use it, yes — water quality and safety barriers.
